Job Description:
The Executive Administrative Partner provides high-level administrative and operational support to the Chief Marketing Officer (CMO) of Lenovo’s Solutions and Services Group (SSG), helping ensure the organization runs smoothly and efficiently in a complex, fast-paced, global environment.
This role acts as a trusted partner to the SSG CMO, responsible for managing day-to-day administrative operations and supporting effective execution across priorities. The Executive Administrative Partner handles a wide range of responsibilities including calendar management, travel coordination, expense management, meeting support, documentation, and logistics for team events and special projects.
The role operates in a highly matrixed organization and requires discretion, strong judgment, and the ability to work effectively across regions and time zones.
Key Responsibilities Executive Support Operations
- Proactively manage the calendar of the SSG Chief Marketing Officer, serving as a gatekeeper for internal and external meetings
- Coordinate meetings across multiple time zones and geographies
- Attend leadership and staff meetings; track action items and follow up as needed
- Exercise sound judgment when making decisions on behalf of the executive
Travel Expense Management
- Arrange travel for customer and business meetings
- Prepare, submit, review, approve, and reconcile expense reports in accordance with company policies
- Maintain a strong understanding of Lenovo tools, systems, and policies
- Educate the executive on updated policies and procedures (e.g., spend limits, city caps)
Projects, Events Collaboration
- Support the events team in event operations and governance, including vendor oversight, budget management, accounting processes, and lead source code development to ensure financial rigor and budget accuracy.
- Support the execution of global and executive-level events, helping coordinate key logistics such as room blocks, badges and passes, speaker content development, and messaging alignment.
- Collaborate with the team on event performance reporting and follow-up, leading post-event communications and recaps
Support SSG marketing and organization-specific projects with strong attention to detail
- Plan and coordinate logistics for leadership workshops, team events, and off-site meetings
- Create, update, and format PowerPoint presentations and meeting materials as needed
- Draft and edit routine communications such as emails, memos, and documentation
- Assist extended leadership team members with administrative support as needed
- Maintain an understanding of organizational structure and key stakeholders within SSG and Lenovo
- Work effectively across regions in a global, matrixed environment
Leadership, Confidentiality Continuous Improvement
- Maintain strict confidentiality of all sensitive or proprietary information
- Provide mentorship and guidance to administrative assistants within the support center
- Continuously learn and apply AI-enabled tools and productivity technologies to improve efficiency, accuracy, and executive support processes
Basic Qualifications
- Associate’s degree or 5+ years of experience supporting senior executives in a corporate environment
- Proficiency in Microsoft Office 365, including Outlook, Word, Excel, and PowerPoint
- Ability to work flexibly outside standard business hours to support a global executive
- Willingness to travel occasionally to support meetings or events
