Job Description:

The Events Project Manager is responsible for the planning, project management, execution, and optimization of both virtual and in-person events that support Bridgepointe’s brand, go-to-market strategy, and partner ecosystem. This role ensures events are delivered with precision, creativity, and measurable impact.

The Events Project Manager works across internal teams, external vendors, and supplier partners to execute events like Accelerators, TechSummit, Everest, Engineering Deep Dives, and others.

General Responsibilities (All Events)

Pre Event

  • Own and manage a dynamic annual events calendar.
  • Source, contract, and manage vendors (AV, catering, venues, print, virtual platforms).
  • Help the sales and marketing team drive attendance
  • Set up events across all platforms: Accelevents, Zoom, HubSpot, Salesforce.
  • Build registration pages, landing pages, and promotional assets.
  • Coordinate launch of email campaigns and promotional workflows.
  • Procure and manage shipping logistics for event swag and materials.
  • Finalize and brand presentation decks, coordinate with speakers and sponsors for content delivery.
  • Align with internal and external stakeholders on run-of-show, agenda, and expectations.
  • Track and manage budget allocation; ensure all estimated costs are reconciled.
  • Develop and schedule attendee communications pre- and post-event..

During Event

  • Serve as lead event coordinator or MC (virtual and in-person).
  • Oversee check-in, attendance tracking, AV setup, and vendor coordination.
  • Monitor and manage webinar/Zoom logistics in real-time.
  • Support speakers and update presentation content as needed.
  • Track and encourage attendee engagement (polls, chat, Q&A, feedback tools).
  • Ensure event stays on schedule and content is delivered smoothly.

Post-Event

  • Conduct comprehensive event debriefs with internal stakeholders, sponsors, and partners to assess successes and areas for improvement.
  • Collaborate with the marketing team and Strategist Advisors to ensure post-event follow-up aligns with Bridgepointe’s GTM strategy and drives lead nurturing.
  • Work with the Sales Operations or Client Advisor teams to ensure captured leads are entered into CRM systems and routed appropriately for follow-up.
  • Coordinate the timely distribution of post-event communications (e.g., thank-you emails, content recaps, surveys).
  • Analyze marketing attribution and revenue impact of the event
  • Organize and archive all event assets (photos, signage, recordings, presentations) for future use in marketing and brand building.
  • Collaborate with digital marketing and social teams to leverage post-event content across channels (e.g., LinkedIn, blog, newsletter).
  • Manage the event close-out process including vendor payments, internal budget reconciliation, and wrap-up documentation.

Technology & Tools

  • Full ownership of event configuration and tracking across Zoom, Accelevents, HubSpot, and Salesforce.
  • Maintain detailed records of registrations, attendance, and event ROI in shared trackers.
  • Use AI tools (e.g., Copilot) for content optimization, summaries, and communication templates.
  • Proficiency in Excel is required to create high-level performance reporting (cost, attendance, feedback, venue data).
  • Ability to manage dual tracking systems or pivot methods depending on team tools (e.g., Smartsheets, Jira).
  • Responsible for ensuring data integrity across marketing and sales systems.

Communication & Collaboration

  • Collaborate with Marketing leadership to align events with brand and campaign strategy.
  • Act as the bridge between Marketing and Sales teams for event support and lead follow-up.
  • Partner with technology suppliers and sponsors for co-branded experiences.
  • Clearly communicate expectations, timelines, and updates with stakeholders and contractors.
  • Evaluate vendor performance and take corrective action as needed, including dismissal for underperformance.

Performance Expectations

  • All events are scoped, communicated, and debriefed with stakeholder alignment.
  • Promotional materials are timely and meet brand standards.
  • Post-event packages are complete, including all data, recordings, insights, and follow-up steps.
  • Budget accuracy is maintained throughout the event cycle with reconciliations completed within two weeks.
  • All engagement data and lead information is accurately tracked in Salesforce and HubSpot.

Qualifications

  • Bachelor’s degree preferred.
  • Deep experience and passion for project management
  • 5–8 years of experience in event management, marketing, or a related field.
  • Strong project management skills and ability to independently manage multiple initiatives simultaneously.
  • Excellent written and verbal communication skills.
  • High level of professionalism, attention to detail, and creative problem-solving ability.
  • Experience with Salesforce, HubSpot, Zoom, Accelevents, and collaboration tools (Slack, Jira, Monday.com or similar).
  • Significant travel required.
